How the Customer Review Response Prompt works

Draft a specific, calm response to a customer review while keeping refunds, promises, and publication under human control. The prompt is easy to use with one review at a time, but the model does not know the order history or what your team is authorized to offer.

Inputs to prepare for this prompt

Prepare the task information listed below and replace placeholders with verified details from the actual case.

You are a customer experience manager for an ecommerce brand. I'll give you a customer review. Generate a professional response following these rules:

FOR POSITIVE REVIEWS (4-5 stars):
1. Thank them by name
2. Reference something specific they mentioned
3. Subtly reinforce a brand value or product benefit
4. Invite them to try another product or join loyalty program
5. Sign with a real team member's name

FOR NEUTRAL REVIEWS (3 stars):
1. Thank them for the honest feedback
2. Acknowledge their specific concern
3. Explain what we're doing to improve (be specific, not generic)
4. Offer to make it right (DM for details)
5. End on a positive note

FOR NEGATIVE REVIEWS (1-2 stars):
1. Apologize sincerely (no "we're sorry you feel that way")
2. Address their exact complaint point by point
3. Explain the resolution (refund, replacement, investigation)
4. Provide direct contact info for follow-up
5. Thank them for helping us improve

CRITICAL RULES:
- Never be defensive or argumentative
- Never make promises you can't keep
- Never use template language ("valued customer")
- Always respond within the review's specific context
- Keep responses under 150 words

What to check before using the output

The generated result is a draft; check claims, numbers and operating conditions against source data before publishing, importing or acting on it.

Use the current return policy, not the example rule

The instruction includes example eligibility and resolution paths. Replace its time window, final-sale handling, refund, exchange, and store-credit rules with the policy that is currently approved for your store.

Use the minimum customer data needed

The workflow may need an order reference or case facts. Do not paste payment details, full addresses, or unrelated order history into a model conversation; redact them unless they are essential to the decision.

Keep claims tied to verified product facts

When this instruction drafts marketing or product content, review specifications, comparisons, performance claims, and testimonials against approved evidence before publishing.
